Privacy Policy
Effective October 1, 2026
This Privacy Policy explains how True Vine Christian School handles information in True Vine Christian School. Our product is designed to be purchased and managed by parents or guardians. See the separate Children’s Privacy Notice for child-specific information.
Information we collect
Parent account information: name, email address, password hash, account role, legal acknowledgments, and security/session information.
Student information provided by the parent: student name, grade, optional child-only username, progress, lesson completion, assessment responses, schedules, attendance records, reading records, report-card information, mastery records, work samples, and other information the parent chooses to store.
Teacher’s Assistant and uploads: parent messages, files, scans, photos, audio submitted for transcription, and generated responses when those features are used.
Classroom and community information: classroom names and descriptions, a family/community display name and general area a parent chooses for optional local discovery, an optional coarse location point rounded to one decimal degree for radius matching, classroom memberships, private and targeted invitation activity, classroom group-chat messages, member-to-member private messages, an optional app-activity presence timestamp when a parent enables activity sharing, and the parent’s local-family visibility and activity-status preferences. Exact home addresses are not required for community or classroom features. When browser location is used for discovery, the application rounds the coordinates in the browser before submitting them. Classroom invitation tokens are stored as one-way hashes rather than reusable plain-text tokens.
Payment information: purchase status, amount, grade purchased, Stripe customer/session/payment/subscription identifiers, TA Plus subscription status, and refund status. Full payment-card numbers are processed by Stripe and are not stored by True Vine Christian School.
Technical information: ordinary server logs, browser/session data, IP address and related security information that may be generated when the service is used.
Public-site analytics: we use Google Analytics on selected public-facing marketing, pricing, legal, and parent account-access pages to understand visits and improve the website. Google may receive technical and usage information such as browser/device information, referring source, general location derived from network information, pages viewed, and interaction data. Google Analytics is not loaded in the student portal, student curriculum workspace, authenticated parent/student record pages, admin workspace, or printable school records.
Curriculum activity information: authorized curriculum access events, protected curriculum bundle deliveries/downloads, and print-flow events initiated from parent curriculum pages. These records may include the parent account, student profile, grade, resource, action type, page context, and timestamp. A print-flow event shows that the site opened the browser print flow; it does not prove that a physical page was printed and does not detect screenshots or printing performed outside the service.
How we use information
We use information to provide curriculum and student-specific progress, secure accounts, process purchases, maintain educational records, operate parent-controlled classroom/community features, answer support requests, operate Teacher’s Assistant and scanner features, review curriculum entitlement and access history, investigate suspected abuse, troubleshoot the service, and comply with legal obligations.
Local family visibility is off by default. When it is off, the family is excluded from nearby-family discovery and new nearby-family invitations. Turning visibility off also revokes unaccepted targeted nearby invitations. Families who opt in may be found by their chosen general area or, when they save a coarse location point, by a broad distance radius. Discovery does not display email addresses, student information, exact coordinates, or street addresses. Classroom membership is a separate parent-controlled connection and does not automatically change local visibility. Active classroom members may participate in the classroom’s persistent group chat and may privately message another active member from within that classroom; private threads are limited to the two participating parent accounts. Activity status is also off by default and is separate from nearby-family visibility. When a parent enables it, True Vine records a short-lived activity timestamp while that parent is signed in and recently using the parent/teacher app so classroom members can see an Active now indicator. When the setting is off, no activity status is shown to classroom members and the presence timestamp is not retained.
Service providers
We may use service providers to host the application, process payments, send email, provide infrastructure, process support requests, provide public-site analytics, and operate optional AI/transcription features. Providers receive only the information reasonably necessary for the service they perform and are expected to handle it under appropriate contractual and security obligations. Google Analytics is used only on the selected public-facing pages described above.
No sale or targeted advertising using student data
True Vine Christian School does not sell student personal information. We do not use student education records, work samples, Teacher’s Assistant conversations, or child profiles for targeted advertising.
Retention
We retain account and educational information while it is needed to provide the service, preserve records requested by the parent, satisfy legal/accounting obligations, resolve disputes, or protect security. Child information should not be kept indefinitely when it is no longer reasonably necessary for the purpose for which it was collected. Parents may request deletion as described below.
Your choices and rights
Parents may review and update student profiles through the account, download available records and work samples, and use the Account & records page while signed in to export family data or permanently delete the family account. You may also contact us to request access, correction, export, or deletion. Some information may be retained by payment processors or other providers where required for transactions, security, fraud prevention, or other legal obligations.
California residents may have additional rights under applicable California privacy law, including rights relating to access, correction, deletion, and certain disclosures. We do not discriminate against users for exercising applicable privacy rights.
Security
We use access controls, account authorization, password hashing, private student scoping, and other technical and organizational measures intended to protect personal information. No internet service can guarantee absolute security.
